This document applies to any vote called by a DivCom or above, as logistics provides a neutral third party and a given process for a fair tabulation and interpretation of votes, allowing for consistency that is sorely lacking in these matters.
Call for Votes must be sent over Announce
- What is being voted on
- What the vote options are and what they mean
- If "Abstain" is received, but is not a vote option, an Abstain will be counted as a "No Vote Received". Logistics must email the party lodging the invalid vote and inform them their vote is being counted as "Not Received"
- Vote Type (defined below) & Percentage Needed for Passing
- Who gets to vote - With List of parties eligible to vote
- Deadline - 24 Hours prior to Deadline, Logistics must send out a vote reminder to the command lists of all parties who have not voted.
All Votes need to be sent to votes@
- Only the Database Director and 1 Deputy should be on this list
- If a Vote is "public" it may be CC'd to the appropriate list
- votes@ is considered a confidential list
- Votes *not* received on votes@ will not be counted.
Logistics is responsible for tabulating all votes.
- On receiving a vote, Logistics must reply to the voting party to confirm vote was received
- An XO/Deputy may cast a vote in lieu of their CO/FCO/DivCom, however, if the CO/FCO/DivCom votes, the CO/FCO/DivComs's vote overrides it
- Vote Results should be sent to Announce and include
- What the Vote was
- Names and who voted for what (or who failed to vote)
- What the final percentage was
- Whether the vote Passed or Failed
- All Comments on 'Nay' Votes
Vote Types:
- % of Votes Received
- 4 Aye, 3 Nay, 2 Not Received: Aye = 4/7 or 57%
- Motion Carries
- % of Eligible Votes
- 4 Aye, 3 Nay, 2 Not Received: Aye = 4/9, or 44%
- Motion does NOT Carry
In case of ties, the individual who called the vote, or their Deputy, may break the tie. This individual must be specified in the call for vote.
A vote may be closed early by the Database Director if:
- A majority has been reached, such that any additional votes will make no difference to a motion passing or failing.
- All votes have been received.
- The individual who has called the vote chooses to retract it.
Comments on Voting:
- Unless otherwise specified, comments on all "Nay" votes are required. "Nay" votes received without comments will be counted as "No Vote Received".
- Database is responsible for putting together all comments and including them on the vote results sent to staff@.
- Inappropriate comments should be bounced back to the voting party for editing, and vote resubmission, with an explanation regarding what is inappropriate in the comments. Votes containing inappropriate content will be counted as "No Vote Received" until they have been resubmitted.
- Logistics is the final word on the decision to screen inappropriate comments.
